Services like Google Drive can be a life-saver if you typically use more than one device for work. Creating a file in Google Docs means it’s accessible from any device, so long as you’re logged in to your Google account.

The disadvantage of using a cloud-based service like this, though, is that they’re often limited when you’re stuck without an Internet connection. But you can still view and edit files offline in Google Docs by following a few quick steps. Remember that you need an Internet connection to complete this initial setup process.

Setting up offline mode

If you’re using an Android phone, you can activate offline mode by opening the Google Drive or Docs app, pressing and holding a file that you’d like to access offline, and tapping the icon that looks like a checkmark.

You can do the same on the iPhone by launching the app and tapping the “More” option next to the file you want to access offline. That option looks three dots stacked on top of one another. Then tap the choice that says “Available offline.”

If you’re working in the Google Chrome browser on your computer, you can choose to have all of your files synched and saved for offline use rather than selecting them individually. Just make sure you’re signed into Google Chrome, open Google Drive, and click or tap the Settings symbol, which looks like a cog. Then check the box in the “Offline” field that says “Sync Google Docs, Sheets, Slides & Drawing files to this computer so that you can edit offline.”

Finding your offline files

Once you’ve chosen the files you’d like to access offline, you can find them within the Google Drive app for Android or iPhone by tapping the menu button at the top of the screen next to the “My Drive” header. Then select the field that says “Offline” to view any saved files. If you’d like to view and work on offline files on a desktop or laptop computer, download the Google Drive app, which is available for Mac and Windows.

As the usage of the Drive has been increasing, the developers have been trying to make it more accessible. The efforts can be seen with the introduction of the feature with which it makes possible to use Google Drive and access files offline.

You might have come across the situation, wherein you are in an area, where you have no internet connectivity and you need to access your Drive to fetch some data. You must have felt helpless at that time.

Access Google Drive Files Offline on PC

If you are using a laptop or desktop, to access your Google Drive documents offline, you need to have Google Chrome browser.

Open Google Chrome browser.
Go to Chrome Web Store.
Look for Google Docs Offline extension and download it.
Once you have downloaded the extension, go to Google Drive account and navigate to Settings->Offline.

Note: Don’t forget to check mark beside the option Sync Google Docs, Sheets, Slides and Drawings files to this computer so that you can edit offline.

It will take a few minutes to activate.

Access Google Drive Files Offline on Phone

With smartphones, everywhere, it is pretty convenient to get the Google Drive’s access when offline. It is a very simple process as there is no need to install an extension or additional app, follow these steps to access your documents on Google Drive offline:

Go to Google Drive app.
Navigate to the file you want to access and open it.
Locate the three vertical dots at the top right-hand corner to open the menu.
Look for Available Offline Option and slide the toggle to the right to turn it ON.

If you want to check, what files, you can access offline, tap the three horizontal lines located at the upper left-hand corner and select Offline.

Sadly, you have to manually make the files you want to access offline available by following the aforementioned steps for each one of them. As Google, couldn’t make you access all the files offline with a single tap due to the storage space considerations
